Fixora First Fix Pack · Pack 1
Scheduling & No-Show Recovery
A same-day operations kit for chiropractic offices: one visible, time-bound recovery routine your front desk can begin today.
How to use this pack
One practical operating improvement, ready to run.
- 1. Name one owner. The office manager is the default owner; a doctor may sponsor the change without owning each task.
- 2. Use one shared place to track work. Start with the practice-management system, a simple spreadsheet, or a printed daily sheet—do not create a second complex system.
- 3. Follow the SOP for seven days. Consistency is the goal for week one, not perfection.
- 4. Review the tracker at day seven. Keep what staff can follow, simplify what they cannot, and choose the next small improvement.
01
Diagnosis: the appointment-recovery gap
When confirmations, cancellations, and missed appointments are handled differently by different people, appointments can quietly fall through the cracks. The immediate fix is not a new system. It is one visible, time-bound recovery routine that every front-desk team member follows.
- This week’s focus
- Every appointment needing attention gets a documented next step before the end of the shift.
- Watch this metric
- Percentage of missed or cancelled appointments with a documented recovery attempt within one business day.
- Start with
- The next appointment that cancels, does not attend, or asks to reschedule.
02
SOP: Appointment Confirmation & Recovery
Purpose: Make confirmation and recovery work predictable without overcomplicating the front desk.
Owner: Front-desk lead. Backup: Office manager.
Use for: upcoming appointments, cancellations, no-shows, and rescheduling requests.
A. Confirm upcoming appointments
- At the agreed daily time, open the next two business days of scheduled appointments.
- For each appointment that requires confirmation under your existing practice policy, send the approved reminder or make the approved outreach attempt.
- Record one of four statuses in the appointment record or tracker: confirmed, needs follow-up, cancelled/reschedule requested, or unreachable.
- For a cancellation or reschedule request, offer the next appropriate available slot according to office scheduling rules. Record the offered options and the patient’s response.
- Before the end of the shift, review every needs follow-up and unreachable item. Assign the next action and due time to a named person.
B. Recover a cancellation
- Mark the appointment according to your existing scheduling policy.
- Send or say the approved rescheduling script below within the same business day when appropriate.
- Offer up to two suitable time options. Do not promise clinical availability beyond the schedule.
- If no replacement is scheduled, create one follow-up task for the next business day. Record the result: rescheduled, declined, no response, or task deferred under office policy.
- Use the newly open slot according to your normal waitlist or fill-list process. Record the action taken.
C. Recover a no-show
- Verify the appointment status and check for any staff note before contacting the patient.
- Within one business day, make one approved outreach attempt using the script below.
- If the patient responds, offer appropriate rescheduling options and document the result.
- If there is no response, create the next follow-up only if it fits your practice policy. Do not repeatedly message outside that policy.
- At end of day, ensure the appointment record says what happened and what, if anything, is next.
Definition of done: An appointment is “recovered” for this SOP when its record shows a clear outcome: rescheduled, declined, unreachable after the approved attempt(s), or follow-up assigned with a date and owner.

Front Desk / Office Manager Checklist
Start of day
- Review today’s schedule for appointments needing confirmation or special administrative follow-up.

- Identify openings that may be offered using normal office scheduling rules.
During the day
- Log each confirmation, cancellation, no-show, and recovery attempt in the same place.
- Use the approved script; keep messages administrative and concise.
- Offer only schedule options you can see and book.
- Set a named owner and due time for every unresolved item.
End of day
- Check that every cancellation/no-show has an outcome or dated next action.
- Count recovery attempts and appointments rescheduled for the KPI tracker.
- Note one barrier staff encountered (for example, no time options, unclear ownership, or missing contact preference).

30-Minute Setup Guide
Minute 0–5
Choose the owner and the record
- Name today’s front-desk lead and backup.
- Decide where statuses will live: appointment notes, a daily report, or one shared sheet.
- Add these columns if using a sheet: date, patient/appointment reference, event, outreach attempt, outcome, next action, owner, due date.
Minute 5–12
Set the four statuses
- Write these on a desk card or in a shared note: confirmed, needs follow-up, cancelled/reschedule requested, unreachable.
- Agree that no one invents extra statuses for week one.
- Decide the end-of-shift review time (for example, 4:30 p.m.).
Minute 12–20
Approve the scripts
- Copy the approved scripts into the office’s normal messaging template area or a shared front-desk document.
- Replace practice name, phone number, and confirmation instruction.
- Confirm which channels are permitted for each type of outreach.
Minute 20–26
Rehearse two scenarios
- Have one person act out a cancellation and one person act out a no-show.
- Practice offering two available appointment times and documenting a next action.
- Keep the language simple; do not add clinical discussions.
Minute 26–30
Launch today
- Pull yesterday’s unresolved items and today’s schedule.
- Complete one recovery action before the next staff handoff.
- Put the 7-day tracker where the owner will see it daily.
06
7-Day KPI Tracker
Complete at end of each business day. “Eligible events” means cancellations and no-shows that your office chose to work under its normal policy.
| Day | Eligible cancellations/no-shows | Records with outreach within 1 business day | Rescheduled appointments | Open items with owner + due date | Notes / barrier |
|---|---|---|---|---|---|
| Day 1 | |||||
| Day 2 | |||||
| Day 3 | |||||

| 7-day total |
Day-7 review questions
- Did every eligible event receive a recorded outcome or next action?
- Which step created delay: confirming, reaching out, offering times, or recording the result?
- What is one rule or template to simplify before next week?
